1. Data Controller

2. Personal Data We Collect

We collect the following data: account information (name, email address); mileage logbook data (trip date, start and end location, distance, trip purpose); vehicle data (registration number, make, model); billing data (information needed for invoicing); device and usage data (IP address, browser type, error logs).

3. Purpose of Processing

We use your data to: provide and improve the DrivLog service; generate mileage logbooks and export to PDF/Excel; handle billing and subscription notifications; provide customer support and improve user experience; comply with legal obligations.

4. Legal Basis

We process your data under the following legal bases: contract performance (GDPR Art. 6(1)(b)) for data necessary to deliver the service; legitimate interests (GDPR Art. 6(1)(f)) for service security and quality; legal obligation (GDPR Art. 6(1)(c)) for accounting and tax law compliance; consent (GDPR Art. 6(1)(a)) for website analytics (Google Analytics 4).

5. Data Retention

We retain your mileage logbook data for as long as your account exists. When you delete your account, personal data is removed within 30 days, except data the law requires us to keep — which we keep only for as long as the law requires.

6. Sharing with Third Parties

We do not sell or share your personal data with third parties for marketing purposes. We use a limited number of authorised processors (e.g. cloud servers, payment providers) under data processing agreements. The DrivLog application's processors are located within the EU/EEA. The only exception is website analytics (Google Analytics 4), described below.

7. Where Data Is Stored

DrivLog user data — your account, trips, vehicles and billing data — is stored on servers in the European Union.

8. Your Rights (GDPR)

You have the right to: access your personal data; request correction of inaccurate data; request erasure of your data; restrict processing; data portability; object to processing; lodge a complaint with the Estonian Data Protection Inspectorate (www.aki.ee).

9. Cookies

Necessary cookies keep the service working (session, sign-in, remembering your cookie choice). They are always active.

Analytics cookies (_ga, _ga_<ID>) are used only if you choose «Accept all» in the cookie banner. Until you consent, the Google Analytics script is not loaded at all. You can change or withdraw consent at any time via «Cookie settings» in the footer. We do not use advertising cookies.

10. Website Analytics (Google Analytics 4)

We use Google Analytics 4 (provided by Google Ireland Limited) on drivlog.com to understand which pages are read and what needs improving.

With your consent it collects: pages visited and time on page, where the visit came from (e.g. a search engine), device type, browser, operating system, screen size and language, approximate location at country and city level, and actions on the page (e.g. clicking the trial button, opening an FAQ, downloading the template, finishing the game). Google Analytics 4 does not store IP addresses. Google signals and ad personalisation are switched off.

Data is kept in Google Analytics for the period set in the account settings, and never longer than 14 months. Google may process data outside the EU (in the USA); such transfers rely on the EU–US Data Privacy Framework.

11. Security

We protect your data with industry-standard encryption (TLS), secure servers, and regular security audits. In the event of a data breach, we will notify you and the supervisory authority within the legally required timeframes.

12. Changes

We may update this Privacy Policy from time to time. We will notify you of material changes by email at least 14 days in advance. Continued use of the service after changes take effect constitutes acceptance.
